Privacy Policy

Draft, written for how GateTrips actually works today — it hasn't been reviewed by a lawyer. Get it reviewed, and fill in the governing-law and company-details sections below, before relying on it.

GateTrips is a B2B hotel booking platform: registered travel agencies use it to search and book hotel inventory for their own clients. There is no public sign-up — every account is created by an agency's own admin, so this policy covers the agents and admins who use the platform on their agency's behalf.

What we collect

Account information: your name, email address, and the agency you belong to, provided by your agency's admin when your account is created.

Booking activity: the searches you run and the bookings you make — destination, dates, guest details, and pricing — so we can process bookings and so your agency can review its own booking history.

Action history: significant actions taken on your account (bookings created or cancelled, receipts issued, agent accounts created) are logged with who performed them and when, for accountability and to help resolve disputes.

How we use it

To search and book hotel inventory on your behalf, to show your agency its own bookings and account balance, to authenticate your login, and to investigate problems (a failed booking, a cancellation dispute) using the action history above. We don't use your information for advertising, and we don't sell it.

Who we share it with

To fulfil a booking, the guest and stay details you enter are shared with our hotel supplier, Hotelbeds, which is how the booking actually gets confirmed with the hotel. We don't share your data with anyone else for marketing or any other purpose.

Each agency's data — bookings, balance, search history — is only visible to that agency's own admins and agents, never to other agencies on the platform.

Cookies

We use a single session cookie to keep you signed in. It's required for the site to work and isn't used for advertising or tracking, and we don't use any third-party analytics or advertising cookies.

Security

Passwords are never stored in plain text. Optional two-factor authentication is available on every account. Access to another agency's data is blocked at the account level, not just hidden in the interface.

Your information, and correcting it

There's no self-serve way to edit your account details or delete your account today — since accounts are created and managed by your agency's admin, that's who can correct or remove your information.

Retention

Booking and action-history records are kept for as long as your agency's account is active, since they're the record your agency relies on for its own bookings and accounting.
